The advantages include the fact that it is very cost effective, you can fit more presentations and meetings in one day and it's a lot easier to schedule than face to face meetings.

The challenges are that face to face meetings foster an emotional connection that the phone and Internet will never be able to provide. It's also a lot more difficult to get them to attend a web video conferencing webinar than a face to face meeting.

We will take a look at each of these benefits and how to overcome these challenges in this hub so that you will have a successful working model. You'll find though that even when you factor in the small downsides, this method is highly effective overall as many other companies have found.

Cost Effective Solution for Presentations

For companies that are looking to cut costs, start up companies that don't have a travel budget, independent sales reps who don't have an expense account, the web video conferencing method can be a great way to do presentations without the costs of traveling.

When you calculate the cost of airfare, car rental, hotel, food, and the time that is required for an in person meeting, the costs can be up to the roof. In addition, you have a very limited amount of in person appointments that you can have.

When I was traveling for a software start up company, I used to travel to certain cities in my territory. I was limited to doing 3 sales presentations each day. Sometimes I could fit in maybe a fourth one if they were all in the same vicinity.

With doing sales conferencing, I was able to do at least twice that much. My limit for doing sales conferencing was about 12 a day. Also, in between the sales webinars, I was able to get some cold calling and follow up calling in. All this at only a fraction of the costs.

The only costs associated with video conferencing is your time, a long distance phone service (which you should already have anyway) and Internet (again, something you should already have).

You might also want to use services like Webex or Go To Meeting that offer video teleconferencing services. These services charge you a fee, but it's minuscule compared to travel costs.

Also you can have multiple prospects on a single sales presentation. It's up to each company to decide whether this is a good option but many companies do this to increase efficiency. In addition, this allows companies to use their best sales rep to do the presentation instead of each sales rep doing their own.

Scheduling for Video Conferencing

One of the great advantages to web video conferencing is that it makes it a lot easier to schedule appointments. Setting an appointment for a sales webinar is a lot more of a soft sell than getting them to agree to a face to face appointment with you.

Even if your product or service requires a face to face meeting you can use sales conferencing as an introduction stage in your sales process. This gets your prospect warmed up to your company and to you as the sales rep before you schedule an in person meeting with them.

This also helps when you're making sales follow up calls. When a prospect forgets parts of your original sales presentation, you can easily go back onto a video teleconferencing session and go over it again with the same quality presentation materials.

Webinar Reminders

One of the challenges to using the sales conferencing method is that it's a lot more difficult to get them to actually attend, even after they sign up. But it doesn't have to be that big a deal. All you have to do is make sure you confirm with them the sales conferencing appointment ahead of time.

If the sales webinar is in the afternoon I call in the morning to confirm. If it's a morning sales presentation I call the afternoon before to confirm. By doing this you can take your webinar attendance rate from 20% to up to 70%.

This can be often overlooked, but you'll begin to notice a decline in your webinar attendance rate if you neglect this step.
